The Dispatcher at Circle 8 Crane Services plays a crucial role in ensuring the efficient scheduling and dispatching of mobile cranes and operators to various job sites. The Dispatcher will use Fleet Cost & Care's NexGen Atom system to manage dispatching, track time, and coordinate with crane operators, riggers, and other relevant personnel. Additionally, the Dispatcher will utilize Microsoft 365 for communication, file sharing, and document management through email, OneDrive, and SharePoint. The role requires excellent communication skills, a keen eye for detail, and the ability to work under pressure in a fast-paced environment.
Key Responsibilities:
Dispatch Coordination:
Assign mobile cranes and operators to job sites based on availability, capability, job requirements, and geographic proximity.
Utilize Fleet Cost & Care's NexGen Atom software to manage scheduling, dispatching, and time tracking.
Ensure all dispatches are in compliance with company policies, safety standards, and client requirements.
Communication:
Maintain clear and constant communication with crane operators, riggers, clients, and other relevant stakeholders via Microsoft 365 email.
Provide operators with necessary job details, including location, scope of work, and any special instructions.
Act as the primary point of contact for operators and clients regarding dispatch-related inquiries or issues.
Time Tracking & Reporting:
Monitor and track the time of crane operators and riggers using NexGen Atom to ensure accurate logging of hours worked.
Prepare and submit daily, weekly, and monthly reports on dispatch activities, job completion status, and operator hours.
Utilize Microsoft 365's OneDrive and SharePoint for sharing and storing reports and other relevant documents.
Problem-Solving:
Address any operational issues or delays that may arise during dispatch, coordinating with relevant departments to resolve them promptly.
Manage last-minute scheduling changes, equipment malfunctions, and other unexpected challenges to minimize downtime.
Documentation:
Maintain accurate records of all dispatch activities, including job assignments, operator schedules, and any incidents or deviations.
Ensure all documentation is compliant with company standards and available for audit when necessary, using SharePoint for organized document management.
Client Interaction:
Coordinate with clients to confirm job requirements, timelines, and special needs.
Ensure client satisfaction by managing expectations and providing timely updates on dispatch progress.
Safety Compliance:
Ensure all dispatches adhere to safety regulations and company protocols.
Report any safety concerns or violations to the Safety Supervisor and Operations Manager immediately.
Qualifications:
Education: High School Diploma or equivalent required; Associate’s degree in logistics, business administration, or a related field preferred.
Experience:
Minimum of 2 years of experience in dispatching, preferably within the crane or heavy equipment industry.
Experience with Fleet Cost & Care's NexGen Atom or similar dispatching/time tracking software is highly desirable.
Familiarity with Microsoft 365, including Outlook (email), OneDrive, and SharePoint, is required.
Skills:
Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
Proficiency in using dispatching software, particularly NexGen Atom.
Competence in using Microsoft 365 for communication and document management.
Ability to work in a fast-paced, high-pressure environment.
Strong problem-solving skills and the ability to make quick, effective decisions.
Working Conditions:
This position is primarily office-based, with occasional visits to job sites as necessary.
Must be available to work extended hours, including early mornings, evenings, weekends, and holidays as required by the business needs.
Physical Requirements:
Ability to sit for extended periods while using a computer and telephone.
Occasional lifting of materials up to 25 pounds may be required.
